  • Senior Staff support:
    • Provide daily confidential support to managers and senior staff and perform routine administrative responsibilities as directed
    • Manage and maintain the outlook calendar including appointments, travel, meetings, conference calls, etc.
    • Draft, prepare and edit oral and written communication in the form of notes, letters, reports, spreadsheets, and other forms of presentations
    • Manage and document business expenditures, audit invoices, and credit card statements required to validate charges as well as prepare any associated expense reports for reimbursement
  • Office coordination
    • Maintain, store, and secure paper and electronic filing systems to retrieve, update and purge files as directed
    • Manage the office reception and guest coordination
    • Manage additional supplies for the executive/customer meetings
    • Manage facility contracts (cleaning, postal services, & security)
    • Responsibility for processing of all facility contracts
    • Set up all intra-company meetings, conference calls, video conferencing, ensuring that systems are all working and set up prior to meeting commencement
    • Manage on-site company events, supplies, refreshments, equipment requirements

  • Travel coordination
    • Communicate with the travel agent to arrange all domestic/international travel for the executive(s) and any accompanying travelers, manage visa/passport documentation for company travelers

  • Must be willing and available to work outside the normal operating hours of 8-5pm, Monday-Friday, on occasion



  • Bachelor’ s degree in Business, Communications or a related field preferred


  • High degree of discipline regarding attention to details
  • Strong communicator, with exceptional written communication skills, strong understanding of writing styles, and grammar. Ability to proofread documents to ensure all  intra-company communications are of the highest quality
  • A proven track record in meeting deadlines

Position Type, Schedule and Travel


This is a full-time position. Days and hours of work are Monday through Friday, 8: 00 a.m. to 5 p.m. Occasional evening and weekend work may be required as job duties demand.
