Billing Operations Analyst – Client Financial Services

  1. Job Description:   This position functions as a member of the Finance & Accounting Department, reporting to the Manager of Client Financial Services.  The primary responsibilities of the Billing Operations Analyst include ensuring accuracy and timeliness of all client billings. 
  2. Knowledge, Skills, and Abilities:

Ideal candidate must be a self-motivated problem solver willing to implement key process improvements.  Individual will be able to maintain a professional, courteous demeanor under stressful situations with a strong sense of teamwork; working closely with his/her peers to proactively communicate current and potential issues to CFS Manager.  Effective communication skills, both written and verbal. 

  1.   Essential Duties & Responsibilities:

  • Responsible for auditing and generating all assigned billing according to client requirements
  • Assist CFS Manager with research and resolving WIP issues during each billing cycle
  • Coordinate proper client invoicing setup with account teams
  • Assist with monitoring unbilled monthly reports by PM team and resolving billing delays
  • Create pivot tables and VLOOKUP formulas to analyze large quantities of data
  • Collect information for annual audit and reviews
  • Participate in cross training to ensure proper invoice coverage
  • Review Contractual documentation for invoicing terms and conditions
  • Review project billing to ensure that sales tax has been handled according to client setup (country)
  • Prepare client account statements/reconciliations as needed
  • Assist in resolving invoicing issues impacting cross functional teams
  • Work with the operations and sales team to respond to client requests for information and reconcile activity between systems
  • Timely research and resolve all billing disputes
  • Provide ad-hoc reports for internal and external customers as requested
  • Respond promptly to customer requests, both internal and external
  • Troubleshoot billing problems and offer constructive solutions
  • Check all billing for final review and approval prior to sending to client
  • Escalate aged projects that cannot be invoiced to CFS Manager
  • Enter prebills into the system 
  • Responsible for ensuring deadlines for client billing are met consistently each month
  • Have a well-organized area for processing billing
  • Manage the Billing Dept e-mail box
  • Onboard and approve new clients
  • Timely submission of credit memo forms and approval
  • Attend staff meetings; contribute to the communication and sharing of ideas
  • Return all voice mail and email messages within 24 hours
  • Maintain current and accurate timesheets weekly
  • Work overtime as required
  • Professional interaction with all clients; Build positive working relationships with employees at all levels within the organization
  • All other duties as assigned
  1. Qualifications and Technical Skills include:
  • Advanced Excel skills, including the ability to create pivot tables, v-lookups, etc.
  • 3-5 years of experience in B2B billing required
  • 3-5 years of experience in finance/accounting required
  • Associates degree in accounting related field preferred
  • Prior experience using PeopleSoft and SF.COM a plus
  • Highly proficient in MS office applications: Word, Power Point, Outlook
  • Effectively work with minimal supervision
  • Strong Organization and Attention to Detail
  • Robust problem solver/creative thinker
  • “ Can-do” attitude, pro-active and resourceful
